Digital files and procedures management for courts and prosecutors

Starting in 2016, a new and innovative digital file and process management system has been rolled out and implemented across Austria’s court and legal institutions as part of the strategic initiative “Justice 3.0”. Developed in collaboration with practitioners from the legal field and with user feedback in mind, this innovative technology has been instrumental in optimizing previously established IT systems, and transforming the way files and procedures are handled. The result? Increased efficiency in workflows, quicker access, optimized file management.

How it works

Similar to digital archiving solutions Archivium for lawyers and cyberDOC for notaries, the new and innovative digital files management system has been designed to streamline processes and optimize established workflows. Since being piloted in a subsection of civil proceedings at selected courts in 2016, it has been extended to all provincial courts, district courts, and the Supreme Court of Justice, now also covering judicial administrative cases and criminal proceedings. To date, almost the entirety of new legal cases in Austria is handled exclusively digitally by both courts and public prosecutors’ offices.

With digital file management being extensively used by public prosecutors in pre-trial proceedings in particular, this new and updated technology has been vital for speeding up and simplifying processes, allowing several members of staff to work on the same files at the same time and from different locations, without compromising on security. And that’s not all: Via the digital information and service platform “JustizOnline”, a number of additional services can be accessed by regular citizens, companies and lawyers using their qualified e signature. By simply logging in, they can view files and documents or check the status of specific court proceedings directly on a PC or smartphone – free of charge, 24/7.

The Big Picture

The complete digitalization of court documents has been key in transforming the Austrian judiciary system, making it more efficient, cost-effective and transparent for citizens everywhere. Electronic transmission of documents, direct access to status updates on court proceedings and the ability to view files anywhere and anytime have not only minimized the need for travel, but also reduced waiting times and costs by eliminating the time-consuming and resource-intensive transport of important documents. Plus, with all relevant information now available digitally, innovative technologies like artificial intelligence can easily be integrated into judicial research, further driving the journey towards a more connected, digitally driven society.
